What it’s all about:
This position performs various administrative, research, and customer service functions and provides organizational support to the Asset Management team. Since this position’s tasks may fluctuate, the incumbent must be flexible, well-organized, and able to set priorities and work independently to complete assigned projects.
What you’ll do on a daily basis:
This position will provide support to the Asset Management team with the administration of HUD rental subsidy contracts and other compliance programs including but not limited to PBCA, HOME, and LIHTC. The incumbent with assist with accurate and timely completion of assigned regulatory compliance file audits and physical property inspections for rental units within Rhode Island Housing’s multi-family loan portfolio, in accordance with appropriate federal, state and agency guidelines and policies.
The incumbent will provide on-going compliance support to the asset management team by processing special claim and reserve replace requests from developments, also assist in responding to, through a centralized system, complaints received from residents in RIHousing’s multi-family portfolio. He/she/they must be able to complete independent research related to program compliance and effectively communicate the results to team members and senior staff.
The incumbent will be required to receive certification as a tax credit or occupancy specialist through a nationally recognized affordable housing training organization or HUD provided training.
What you’ll bring to the team:
- Process a variety of documentation related to special claims for vacancies and reserve replacement requests for developments in an accurate and timely manner.
- Assist with Management and Occupancy Reviews, and other regulatory compliance reviews including file reviews and physical inspections to ensure compliance with HUD, LIHTC, state and local regulations.
- Assist with mediating and logging tenant and/or Owner complaints through a centralized system. He/she/they will be responsible to follow up with owner/agents to ensure concerns are addressed in compliance with State and Federal regulations.
- Process a variety of correspondence and documentation related to assigned programs in an accurate and timely manner as established by his or her manager to ensure compliance with Federal, State and Rhode Island Housing guidelines/policies.
- Log data into internal and external systems including Prolink, SmartSheet and HUD Secure Systems
- Perform specialized, technical administrative and/or reporting functions in an accurate and timely manner as assigned
What you’ll need to succeed:
- Three to five years administrative experience, preferably in the property management/rental assistance field
- Working knowledge of HUD and State Housing program regulations
- Proficiency in word processing and spreadsheet software packages
- Ability to work in multi-project environment
- Good verbal, written communication, and customer service skills, along with good organizational and negotiation skills, strong computer skills
- Use of personal vehicle, valid driver’s license and proof of insurance is required
- Bilingual ability preferred
